This privacy policy is about how the FNX Nutrition collects, processes, stores and shares your personal data.

This Privacy Policy only relates to personal data collected by FNX Nutrition via the website, application forms, emails and telephone calls.

This Privacy Policy has been prepared in accordance with the Data Protection Act 2018 which implements the General Data Protection Regulation (or such UK legislation intended to replace or supersede it) (“Data Privacy Laws”). Defined terms used in the Privacy Policy have the meanings set out in the Data Privacy Laws.


The data we collect from you is the data required to provide professional services, communicate with clients and validate and verify the legitimacy of enquiries.  The data held by FNX Nutrition is collected at the time of application by members of the public and includes name, email address, and contact telephone number if provided, date of birth, payment details, and any health issues you may have including dietary requirements and allergies.


How we collect your data:

We collect data and process data when you:

  • Register online or place an order for any of our products or services.

  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email.

  • Use or view our website via your browser’s cookies.

The data we collect from/about you:

  • Completing a nutritional therapy questionnaire

  • Signing a terms of engagement form

  • During a nutritional therapy consultation

  • Through email, over the telephone or by post

  • BACS payments

This may include the following information:

  • Basic details such as name, address, contact details and next of kin

  • Details of contact we have had with you such as referrals and appointment requests

  • Health information including your previous medical history, dietary, lifestyle, supplement and medicine details, biochemical test results, clinic notes and health improvement plans

  • GP contact information

  • Bank details

Clinical records can cover a wide range of material including:

  • Handwritten notes

  • Computerised records

  • Correspondence between health professionals (always anonymised unless prior consent has been given in writing from the client to FNX Nutrition)

  • Laboratory reports

  • Photographs

  • Video and other recordings

  • Printouts from monitoring equipment

  • Text or email communication with patients.


How will we use your data?
FNX Nutrition collects your data so that we can:

  • Process your enquiry/book you into an appointment

  • Manage your account and bookings

  • Email you with special offers/promotions and news about (but not limited to) upcoming events

  • Contact you about any changes of time, location or cancellation


How do we store your data?

FNX Nutrition securely stores your data at;

  • WiX (the company which hosts www.fnxnutrition.co.uk)

  • Google Mail – integrated with WiX

  • Microsoft Outlook – for communications and bookings


All consultation hard copy notes are stored securely, up to a maximum of 6 months, after which hard copies are transferred to soft copies (electronically) onto an encrypted data storage unit. Hard copies are subsequently destroyed.


We do not transfer data externally. We do transfer data internally to service providers we use to deliver aspects of our service such as database or email software facilities.


We will keep your personal data for no longer than we need it for the purposes we have explained in this Privacy Policy. To determine the appropriate retention period for your personal data, we will consider the amount, nature and sensitivity of your personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

If a dispute arises between us, we will keep your personal data for the purposes of responding to and dealing with this dispute and this may mean that we keep your personal information for longer than as set out above.

Device Specific Data Collection

The following information may be collected through your device and browser:

  • Your device IP address

  • Your email address including first name and surname (if contained within the email address)

  • Device type (unique identifiers) and browser information; and

  • Geographic location (country only).


Cookies

Paper Records

All paper records are stored securely in accordance with the General Data Protection Regulation (GDPR) (EU) 2016/679. Paper records are kept for a maximum of 6 months before being transferred to electronic storage.


Data Lifespan

Upon final consultation, all records are kept and filed securely electronically for a minimum of 7 years, as stipulated by our insurers, for both adults and children. Thereafter, all records are destroyed.


What are your data protection rights?

The right to access your data – You have the right to request FNX Nutrition for copies of your personal data.

  • Rectifying your data – You have the right to request that FNX Nutrition correct any information you believe is inaccurate. You also have the right to request FNX Nutrition to complete the information you believe has been omitted or incorrectly collected.

  • The right to erasure – You have the right to request that FNX Nutrition erase your personal data, under certain conditions (see Data Lifespan clause).

  • The right to restrict processing – You have the right to request that FNX Nutrition restrict the processing of your personal data, under certain conditions.

  • The right to object to processing – You have the right to object to FNX Nutrition processing of your personal data, under certain conditions.

  • The right to data portability – You have the right to request that FNX Nutrition transfer the data that we have collected to another organisation, or directly to you, under certain conditions.

Payments for consultations and follow-up appointments to be made prior to the agreed booking time and date.
Payment processing is by BACS only.

A minimum of 48 hours’ notice is required for cancellation of appointments.

Dietary interventions, supplement suggestions, exercise or breathing suggestions which are posted on the website, social media or sent via email are suggestions only and should only be carried out if it is safe for you to do so (medically, physically and/or mentally).


We do not diagnose, treat or cure, and we are not medical professionals. You should consult with your physician or other health care professional before undertaking any dietary recommendations, lifestyle interventions and/or supplement suggestions.


This website offers health, fitness, and nutritional information and is for educational purposes only. It is not a substitute for, nor does it replace professional medical advice, diagnosis, or treatment.
